The monthly numbers every golf simulator venue should track
Total bookings tell you whether it was a good month. These eight numbers tell you why, and what to change next.
The eight numbers
| Number | How to work it out | What it tells you |
|---|---|---|
| Occupancy by hour | Booked hours ÷ available bay hours, for each hour of the week | Exactly which slots need filling |
| Revenue per bay hour | Bay revenue ÷ available bay hours | Whether pricing and occupancy are working together |
| Enquiries handled vs passed to you | Conversations answered without you ÷ all conversations | How much of your time is still going on messages |
| Faults per bay | Count of faults, by bay | Which bay needs hardware attention |
| Refunds issued | £ refunded or given as free time | What faults and problems actually cost you |
| Energy per bay | kWh per bay, and £ at your unit rate | Whether bays are running when they shouldn't |
| Reviews gained and rating | New Google reviews, average stars | How visible you are to new customers |
| Rebook rate and no-shows | Customers who book again within 30 days; bookings not turned up to | Loyalty, and slots you're losing |
How to use them
- Same day each month, and compare against the same month last year. Sim venues are seasonal: the typical UK venue we tracked went from 46% booked in February to 18% in September. Comparing September with August tells you very little. See your sim venue is a winter business.
- Look at occupancy by hour, not by day. It's where the money's hiding. Our guide to filling quiet slots picks up from there.
- Put faults and refunds side by side. One bad bay can quietly cost more than a repair.
- Check energy against occupancy. If bookings fall and the bill doesn't, bays are being left on. See what an empty bay costs.
- Meter by circuit, not just the whole building. When we metered our own venue, separating the circuits showed us what the sim kit really used, and kept the car chargers and the coffee machine out of the bay figures.
Don't build a spreadsheet you won't update
Most owners start a monthly sheet and stop by March. The numbers that need counting by hand (faults, messages, refunds) are exactly the ones that get skipped. If your systems can count them for you, they will get counted.
A monthly report that writes itself
